Data Capture Process
We at DataNZ have developed a proprietary data
processing management system (DPMS), which is tailored towards the many data capture
processes that we adopt to suit our customers data conversion requirements. The
DPMS is a versatile tool, allowing for data entry from a simple single-key data entry
process to a triple-key / triple-compare data entry process which guarantees 99.999%
accuracy. Data can be entered from printed materials or from scanned images.
DPMS has a provision to validate the data against a set of rules which
is either provided
by the customer or established by analysing the
documents. The DPMS workflow has
in-built security features that take into account our data security policy which is in
accordance with ISO 17799. All data keyed-in is automatically encrypted and secured thus
preventing loss, modification or misuse.
Process to guarantee 99.995%
accuracy (Double-Key, Double-Compare):
1.
Key 1:
One operator keys in the data. Output
is encrypted.
2.
Key 2:
Same as above with a different operator.
3.
Compare 1:
The Compare 1 operator compares the Key 1
against Key 2 output and the software highlights areas of mismatch which are then corrected by the Compare 1 operator based on the original source
document.
4.
Compare 2:
The Compare 2 operator compares the Key 2 against Key 1 output and the software highlights areas of mismatch which are then
corrected by the Compare 2 operator based on the original source document.
5.
Reforms:
This is a background process wherein the DPMS software matches the
compare 1 & 2 outputs character by
character. Any mismatch goes to the audit
queue.
6.
Audit:
Audit teams check any mismatched output with
the source documents and correct them.
7.
Random QC:
10% of the output is checked at random. If
quality level is less than 99.995%, the
entire output is rejected and sent back to
Key 1 & 2 process.
